Rare Moments – Terms & Conditions
These Terms & Conditions outline the policies and expectations related to services provided by Rare Moments. By booking our services, clients agree to the following terms.
Service Agreement
If a client enters into a signed service agreement with Rare Moments, the terms outlines in that agreement will supersede and take precedence over any information contained within these website Terms & Conditions.
The signed agreement between Rare Moments and the client represents the official terms governing the services provided for the event.
Booking & Reservation
Event dates are reserved only after the service agreement has been signed and the required deposit has been received. Until both steps are completed, Rare Moments cannot guarantee availability for the requested date.
Payments
A deposit is required to secure the event date. The remaining balance must be paid according to the terms outlines in the booking agreement.
Failure to submit payment by the required date may result in cancellation of services.
Event Requirements
Rare Moments will coordinate with the client, venue or event planner to ensure the setup location is suitable for the experience. Our team will arrive in advance of the scheduled service time to complete setup and testing.
Our experiences are designed to be fully self-contained; however, access to venue power or internet may be used when available.
Event Timing
Service time begins at the scheduled start time agreed upon in the booking agreement. if additional time is requested during the event, it may be accommodated based on availability and may incur additional fees.
Guest Conduct
Rare Moments reserves the right to refuse service to guests who engage in unsafe, destructive, or inappropriate behavior. The safety of guests and equipment is our priority.
Equipment Protection
Clients are responsible for ensuring that guests treat all equipment respectfully. Damage caused by guests, venue conditions, or misuse of equipment may result in additional charges.
Media Use
Photos or videos captured during the event may be used by Rare Moments for promotional purposes, including social media, marketing materials, and website content.
If a client prefers that their event media not be used for promotional purposes, this request can be communicated in writing prior to the event.
Liability
Rare Moments will take all reasonable steps to provide a smooth and enjoyable experience. However, we are not responsible for circumstances beyond our control, including venue restrictions, power outages, internet interruptions, or unforeseen technical issues.
Change to Services
Rare Moments reserves the right make reasonable adjustments to equipment or setup when necessary to ensure the quality and safety of the experience.
Acceptance of Terms
By booking services with Rare Moments, clients acknowledge that they have read and agreed to these Terms & Conditions.
